    TalkPilot vs Fireflies.ai

Fireflies.ai is a meeting notetaker: its bot or desktop app records the call, then it writes the transcript, summary and action items. Its Live Assist adds live notes and answers when you ask. The verdict

Pick Fireflies.ai if you want a searchable record of every meeting; pick TalkPilot if you want help saying the right thing while the conversation is happening, built on your own context, with the recap still included.

    Choose TalkPilot if

    • You want help during the call, with no bot in the meeting: your next line or question shows up when the other person finishes talking, or when you tap Assist.
    • You want coaching that knows you: your docs, notes and slides, a brief for each call, Memory from past calls, your calendar and your CRM contact.
    • Your team has a playbook: reps see the current stage, what is still left to cover, and your approved answer to an objection first.
    • You manage a team: every call is scored against your own playbook, and Team DNA shows how your best people run their calls.
    • You want to practice first: an AI plays the other person by voice and scores you, or you rehearse tomorrow's meeting from your calendar.
    • Your calls are in Spanish, or switch between English and Spanish: coaching follows the language of the call.

    Choose Fireflies.ai if

    • You mainly want notes: a transcript, summary and action items for every meeting, with search and AI chat across all of them.
    • You want a notetaker that joins the meetings on your calendar automatically, and recordings you can replay and clip.
    • You need many connections: Fireflies lists more than 100 integrations, including CRMs like monday CRM, GoHighLevel and ActiveCampaign.
    • Your meetings happen in languages other than English and Spanish: Fireflies transcribes more than 100.

Fireflies.ai calls itself an AI assistant for your meetings, and most people use it as a notetaker: it records the call, then gives you a transcript, a summary, action items and search across all your meetings. It now has Live Assist too, a panel with live notes and answers during the call.

TalkPilot is a conversation enhancer, built on proven conversation methods to make you the best communicator you can be. It gives you extra thinking power while you talk: when the other person stops, it shows what to say or ask next, using your own docs, notes and calendar. Note takers write down what happened; TalkPilot helps you say the right thing while it is happening, and you still get the recap.

Notes after the call, or help during it

Fireflies is built around the record of the meeting. Its notetaker joins the call, or its desktop app records your computer's audio, and you get a transcript, a summary, action items, and search and AI chat across all your meetings. Its Live Assist panel adds live notes, a catch-up of the last minute, suggested follow-up questions and answers when you ask its assistant. The desktop app also nudges you when you talk too fast, too slowly or too long.

TalkPilot is built around the moment you have to answer. It listens from your own device and, when the other person finishes talking, shows your next line, a question to ask, or where to take the conversation. If you prefer, it stays quiet until you tap Assist. Cues like "Slow down" tell you how you are coming across. After the call you still get a one-line takeaway, action items, follow-up drafts and, if you want it, a Deep Dive on what went well and what to try next.

    Coaching that knows your context

Generic advice does not help much in a real conversation, so TalkPilot works from what you give it. Load your docs, notes and slides (PDF, TXT or MD files, with Pro), and the coach reads them before and during the call. Write a short brief for each call, like "Pricing call with Acme, I want a yes on the annual plan". Memory keeps lessons from your past calls and the notes you write. TalkPilot also reads your calendar details and, if you connect HubSpot or Salesforce, the contact's details before the call. You can even paste what ChatGPT or Claude already knows about you into your profile.

With TalkPilot Teams, it also knows your company: company knowledge, your playbooks, your approved answers and Team DNA from your best people. With Pro or Teams you can also use TalkPilot inside Claude or ChatGPT, to look back at your calls or get ready for the next one.

Your team's playbook and answers, on screen during the call

With TalkPilot Teams, reps see the current stage of your playbook and what is still left to cover. When a buyer raises a known objection, your company's approved answer shows before any other suggestion, and TalkPilot warns a rep who starts to say something your rules forbid.

Fireflies' closest feature is Sales Assist, which pulls answers from a knowledge base you upload when a prospect asks a question. Its help center says Sales Assist works only when the Fireflies bot is in the meeting, and its assistant's answers use AI credits. Its sales skills, like the BANT summary and the Sales Coach score, run on the transcript after the meeting.

For managers: scores against your own playbook, and practice

In the Command Center, every call is scored against your playbook: what was covered, how objections were handled, and any rule that was broken. A review queue shows the calls that need a look, and you can leave coaching comments and assign practice. Team DNA reads transcripts of your best people and shows how they run a call, so you can add what works to the playbook.

Fireflies gives managers talk time, sentiment and topic trackers, team insights on its Business plan and up, and AI Skills such as Sales Coach, which scores five sales skills from 0 to 10 after each call. We did not find an AI roleplay on its site. With TalkPilot, reps can practice first: an AI plays the other person by voice and scores the run out of 100, or they rehearse tomorrow's meeting from the calendar.

Where TalkPilot is not the right fit

Good to know before you choose.

    • TalkPilot saves the transcript, not audio or video, so there is no recording to replay or clip.
    • It does not join meetings on its own: you start it in each conversation you are part of.

    Frequently asked questions

Does Fireflies.ai help you during a call?

Yes, with Live Assist: live notes and transcript, a catch-up of the last minute, suggested follow-up questions, and answers when you ask its assistant. The desktop app also nudges you about pace and long monologues. TalkPilot's focus is what to say next: your next line or question when the other person stops talking, built on your own docs and notes, and your team's approved answers first.

Can TalkPilot use my own documents and notes?

Yes. With Pro you can load your docs, notes and slides as PDF, TXT or MD files, and the coach reads them before and during the call. You can also write a short brief for each call, keep lessons and notes in Memory, connect your calendar, and connect HubSpot or Salesforce to see the contact before the call. And you can paste what ChatGPT or Claude already knows about you into your profile. Teams add company knowledge, playbooks, approved answers and Team DNA.

Does TalkPilot send a bot to my meeting?

No. TalkPilot listens from your own computer or phone, and nothing joins the meeting. We don't record or store audio; only the transcript is saved, in your account. Fireflies' notetaker joins as a meeting guest, though its desktop app and Chrome extension can record without one.

    Does TalkPilot work in Spanish?

Yes. The app, live coaching, recaps and action items work in English and Spanish, and coaching follows the language of the call, even if it switches. You can also pick one language in Settings. Fireflies transcribes more than 100 languages, Latin American Spanish included.

    How do the prices compare?

TalkPilot is free for 5 conversations a month, Pro is $20 a month, and Teams is $32 per seat a month billed annually ($40 monthly). Fireflies has a free plan, Pro and Business plans priced per seat, and an Enterprise plan billed annually; some features use AI credits. Check fireflies.ai/pricing for current numbers.

    Can I use both?

Yes. TalkPilot does not join the meeting, so it does not get in the way of Fireflies' notetaker. You can keep Fireflies for the meeting archive and use TalkPilot for the calls where what you say matters most.
